Administrative Assistant
 

Agility 360 is looking for a motivated, energetic and experienced administrative assistant for our client, a growing non-bank lender/servicer, for a temp-to-perm role.This prole would serve as the backup to the front desk Admin as well as all EAs. The candidate must have be positive, energetic, and a team player. Confidentiality is a must as the person will be touching sensitive materials related to the board, materials from the office of the CEO and as well as personal items and duties for the CEO.

Job Responsibilities:

1. Restock/order supplies for exec kitchen & exec copy room
2. Executive errands (lunches/CEO errands)
3. Greet visitors and direct them to the appropriate destination
4. Receive executive mail and make sure documents are electronically forwarded to the necessary department; Legal docs & customer complaint letters
5. Bind & drop off exec board decks/bind docs for other SVPs
6. Help order and set up executive meeting lunches for other EA’s and/or make reservations for exec dinners
7. Notarize documents for payroll & personal documents for executives/SVPs
8. Create FedEx/UPS shipments
9. Create & order exec/SVP business cards through Mandalay Press
10. Coordinate and schedule meetings with execs and external clients

Experience/Requirements

• College degree or equivalent work experience
• Minimum of 1-3 years of admin experience

Key Skill Sets:

• Experience in Microsoft Office Suite including Word, Excel and Outlook
• Ability to learn new systems quickly
• Strong analytical skills and creative problem solving
• Ability to multi task, prioritize and be flexible with changing business needs
• Ability to work in an accurate, detail-oriented and high production team environment
• Ability to interact and communicate with external clients
